The Office Administrator will play a key role in the smooth and efficient day-to-day running of the office, while providing an excellent standard of customer and client service.
The post holder will be a key representative of OCS/M&C Property and will often be the first point of contact for clients, customers, contractors, suppliers and other visitors. You will help to create a professional, welcoming and seamless experience for clients, whether they are purchasing, renting, moving within our housing portfolio or engaging with the company in relation to general enquiries and services.
The role combines front-of-house customer service with a broad range of administrative responsibilities. The successful candidate will need to be highly organised, professional and proactive, with the ability to manage a diverse and often high-volume workload while maintaining a calm and positive approach.
You will provide administrative support to the wider business, including the Sales & Lettings Teams and Senior Management, and will be expected to work flexibly and collaboratively across the organisation.
Principle Responsibilities & Duties
Reception & Front of House
Act as the first point of contact for the company, providing a professional, friendly and efficient reception service.
Welcome and assist clients, customers, contractors, visitors and members of the public.
Manage all front-office activities, ensuring the reception area is welcoming, clean and organised.
Receive incoming telephone calls and direct enquiries to the appropriate person or department.
Monitor and respond appropriately to voicemails throughout the day.
Receive, date stamp, distribute and manage incoming company post.
Manage the main company email inbox, reviewing and distributing emails to the appropriate team members.
Deal professionally and efficiently with general enquiries from customers, clients and members of the public.
Client & Customer Service
Place customers and clients at the heart of all activities and ensure a consistently high standard of customer service.
Develop positive and professional relationships with clients and customers.
Build strong rapport with clients while maintaining appropriate professionalism and confidentiality.
Deal sensitively and appropriately with customer issues, enquiries and potentially sensitive matters.
Respond to customer and client requests promptly and efficiently, ensuring enquiries are directed or followed through appropriately.
Maintain a calm and professional approach when dealing with multiple competing priorities and high volumes of client interaction.
Support clients throughout their interactions with the business, contributing to a positive sales, lettings and property management experience.
Sales & Lettings Administration
Provide administrative support to the Sales & Lettings Teams to assist in achieving OCS/M&C Property sales and lettings targets.
Assist with the administration associated with property sales and lettings.
Develop and maintain effective professional working relationships with clients, solicitors, lenders and other agents.
Ensure relevant information is communicated promptly to the appropriate team members.
General Administration
Provide comprehensive general administrative support to the business and wider teams.
Update information on internal systems when received and communicate relevant information to team members.
Learn and effectively use internal CRM and other company systems following appropriate training.
Process and record administrative information accurately and efficiently.
Assist with the smooth day-to-day running of the office.
Maintain an organised and professional office environment.
Carry out other reasonable duties and tasks as assigned by management.
Keys, Payments & Office Controls
Issue keys to contractors and members of the public as required.
Ensure all key issues and returns are properly documented, recorded and retrieved in accordance with company procedures.
Ensure all relevant operating procedures are followed consistently.
Skills, Experience & Qualifications
The successful candidate will ideally demonstrate:
At least three years’ strong administrative experience, preferably within a busy office environment.
Previous successful experience in an administrative or contract administration role.
Proven experience in a customer service-focused position.
Excellent verbal, written and interpersonal communication skills.
A professional, mature and understanding manner.
Strong organisational skills and exceptional attention to detail.
The ability to manage a busy, multi-task environment and prioritise competing demands effectively.
The ability to think on your feet, respond positively to changing priorities and remain calm under pressure.
A proactive, flexible and organised approach to work.
Excellent computer literacy, particularly in Microsoft Office applications.
The ability and willingness to learn internal CRM and other business systems.
Good analytical skills and the ability to process information accurately.
Previous experience within the property or hospitality sector would be advantageous.
Property management experience would be desirable but is not essential.
A professional or vocational qualification would be an advantage.
